Current Position:

Financial Staff Assistant.

Major responsibilities include:

• Responsible for reconciling purchasing card transactions and resolving discrepancies.  Manage departmental purchasing cardholder list serve. Assist cardholders in obtaining receipts.

• Process applications for departmental purchasing cards by completing APCA. Update any changes in status of purchasing cards by completing UPCA.

• Reimburse petty cash expenditures. Prepare paperwork for restocking petty cash money. Secure receipts and money.

• Back-up for the processing of key requests. Receive and deposit money; distribute refunds for returned keys.  Orders additional keys when necessary.

• Bill professors and prepare IDCCs for incidental expenses (long distance calls, copies, transparencies and faxes). Bill professors for monthly line charges and JVDP’s after professors sign and return paperwork.

• Prepare & maintain standing orders, develop spreadsheets for standing order charges, dry ice, maintenance repairs, Physical Plant billings, gas cylinders, garage charges, copy paper sold to labs for monthly billing. Develop phone bill for monthly line charges for billing professors twice yearly.

• Prepare documents for all telephone charges (add new lines, uninstall unwanted lines, any changes to existing phone lines, add or remove voicemail). Report all phone problems for any departmental phones.

• Greet visitors, provide information or refer. Answer incoming telephone calls.  Retrieve voice mails and distribute to correct individual.  Contact caller if individual is out for the day.

• Stock and maintain copiers. Correct small problems or call for service.  Order supplies for copiers.

• Maintain spreadsheet of vendors and their addresses, phone, and fax numbers for common faculty and staff p-card charges.
